🎯 Job Purpose

As a Project Coordinator, your role is to support Project Leaders across the Asia-Pacific (APAC) and Australian regions in scheduling and coordinating field visits with freelance field workers. You will be responsible for ensuring efficient resource allocation, maintaining communication with stakeholders, and tracking progress to meet client goals and deadlines.

✅ Key Responsibilities

📌 Project Setup & Coordination:

Create project scheduling databases.

Allocate field visits to appropriate field workers ensuring coverage and optimal geography.

Prepare and communicate project overviews to field workers, including timelines, briefing details, and deliverables.

📌 Communication & Stakeholder Engagement:

Maintain trackers and weekly project updates for field workers.

Invite and facilitate project briefings and debriefings.

Communicate with departments such as training, analysis, and finance.

Anticipate challenges and coordinate with project leads for proactive resolution.

📌 Project Execution:

Monitor and reassign tasks to meet project quotas.

Report weekly progress including call rates and completion stats.

Ensure timely submission of workbooks for client reporting.

Collect and process invoices and expenses from field workers at project completion.

📌 Additional Responsibilities:

Manage the project pipeline in local regions.

Maintain quarterly forecasts for field worker availability.

Assist in the recruitment of new field workers.

Collaborate with regional PCs across Europe, MEA, and Southeast Asia.

🎓 Education & Experience Requirements

A university degree or equivalent qualification.

Fluency in English, with strong skills in mathematics and Microsoft Excel (pivot tables, macros).

Experience in project coordination, project management, or customer service is essential.

Minimum 2 years of experience managing multiple projects in a fast-paced environment.

Experience working in a European or international setting is desirable.
